Privacy policy

This policy explains what personal data Property Track collects, why, who we share it with and what rights you have. It covers this website, the Property Track browser extension and Property Track Plus.

Who we are

Property Track is run by Benns Software Ltd, a company registered in England and Wales (company number 15751857), at 71‑75 Shelton Street, Covent Garden, London WC2H 9JQ. We are the controller of the personal data this policy describes. For anything about your data, email oliver@benns.co.

The short version

  • Price history in the extension needs no account. The extension only runs on Rightmove, and only sends us what it needs to show you information about the listings you open.
  • If you create an account, we keep your email address and name. If you subscribe to Plus, we also keep a record of your subscription. Your card details go to our payment processor, never to us.
  • We use analytics, including session recordings, to understand how the website is used and to fix problems.
  • We do not sell your data or use it for advertising.

What we collect and why

When you use the extension

The extension only runs on Rightmove pages. When you open a listing or search results, it sends us the IDs of the listings on the page and details from the listing, such as its asking price, postcode area, location and number of bedrooms, so that we can send back its price history and, with Plus, comparables, recent sales and trends. Like any request over the internet, this reaches us with your IP address and details of your browser. The extension does not collect anything about your Rightmove account or the other websites you visit.

If you are signed in, the extension sends your sign-in cookie with these requests so that we know whether you have Plus. The map in Comparables and Recent sales loads map images from a map provider, which receives your IP address as your browser downloads them.

When you create an account

You sign in with your email address, and we email you a link to sign in with. On your first sign-in we ask for your name and your agreement to our terms of service. We keep:

  • your email address and name;
  • when you created your account, and when you agreed to our terms and to which version of them;
  • the sign-in links we send you and the sessions you are signed in with, stored in a form that cannot be used to sign in.

We use these to run your account, sign you in and contact you about your account. Sign-in emails are sent through an email delivery provider.

When you subscribe to Plus

Payments are handled by our payment processor. It collects your card details and billing address, and uses the address to work out any tax due. We never see or store your card details.

We keep a record of your subscription: the customer reference our payment processor gives us, your plan and whether it is billed monthly or annually, its status, and when it renews or ends. We use this to give you Plus and to keep accounting records. Our payment processor may email you receipts and notices about your payments, and also uses your data to prevent fraud and to meet its own legal obligations.

When you visit the website

We use an analytics service to understand how people use the website and to find and fix problems. It records the pages you visit, where you came from, what you click, your browser, device and approximate location (worked out from your IP address), and errors that happen.

It also makes session recordings, which replay how pages were used. Anything you type into a form is hidden from recordings, but they can include what a page shows, such as the name and email address on your account page. Analytics uses cookies and similar storage in your browser (see Cookies). We do not use it to build a profile of you or for advertising.

When you use London AI search

The description you type is sent to an AI service, which turns it into search filters. We keep what you typed, without anything that identifies you, to improve the search. Please do not include personal details in a search.

When you sign up for our newsletter

We keep your email address and send you occasional news about Property Track. You can unsubscribe at any time by replying to one of our emails or emailing oliver@benns.co.

When you contact us

If you email us, we keep your message and our reply for as long as we need them to help you.

Keeping Property Track secure

We use IP addresses and technical details of requests to keep Property Track secure, to prevent abuse, for example by limiting how many requests or sign-in emails can be sent, and to diagnose errors.

Our lawful bases

UK data protection law says we need a lawful basis for each way we use your data. Ours are:

  • Contract: to provide the extension, your account and Plus, and to email you about them.
  • Legitimate interests: to understand and improve the website and the extension, to keep them secure and prevent abuse, and to answer your messages. We have weighed these interests against your rights, and you can object to them (see Your rights).
  • Consent: to send you our newsletter. You can withdraw your consent at any time.
  • Legal obligation: to keep accounting and tax records.

Cookies

  • Sign-in cookie (pt_session): keeps you signed in on the website and in the extension. It is set when you sign in and lasts until you sign out, or until 30 days after you last used Property Track. Your account cannot work without it.
  • Analytics cookies: set by our analytics service to recognise your browser between visits and to link the pages of a visit, including for session recordings. They last up to a year.
  • Payment cookies: our payment processor's checkout and billing pages set their own cookies, which it uses to take payments and prevent fraud.

You can block or delete cookies in your browser's settings. If you block the sign-in cookie, you will not be able to sign in.

Who we share your data with

We do not sell your personal data. We share it only with the service providers that help us run Property Track, and only what each of them needs:

  • hosting providers, which run our website, servers and database;
  • an email delivery provider, which sends sign-in emails;
  • a payment processor, which takes payments and manages subscriptions;
  • an analytics service, which records how the website is used;
  • an AI service, which interprets London AI searches;
  • a map provider, which serves the maps in Comparables and Recent sales.

We may also share data with our professional advisers, with authorities when the law requires it, or with a buyer if we sell Property Track, who would have to protect it as this policy describes.

Where your data is stored

Our servers and database are in the UK. Some of our service providers are based in, or store data in, the European Economic Area or the United States. When your data is transferred outside the UK, it is protected by UK adequacy regulations (including the UK Extension to the EU-US Data Privacy Framework) or by the International Data Transfer Agreement or Addendum approved under UK law.

How long we keep your data

  • Your account: for as long as you have one. When you ask us to close it, we delete your account details within 30 days.
  • Plus: records of your subscription and payments for six years after the end of the financial year they relate to, as UK tax law requires, even after your account is closed.
  • Signing in: sign-in links stop working after 15 minutes, and sessions end when you sign out or 30 days after you last used Property Track.
  • Newsletter: until you unsubscribe.
  • Analytics and session recordings: deleted automatically when they reach our analytics service's retention limit.
  • Messages to us: for as long as we need them to deal with what you asked.

Your rights

You have the right to:

  • ask for a copy of your personal data;
  • ask us to correct data that is wrong or incomplete;
  • ask us to delete your data;
  • ask us to limit how we use your data;
  • object to our using your data for our legitimate interests, and stop our newsletter at any time;
  • ask for data you gave us in a format you can take elsewhere;
  • withdraw your consent where we rely on it.

To use any of these rights, email oliver@benns.co from the address on your account. We will reply within one month. Some rights have limits: for example, we must keep payment records even if you ask us to delete them.

Complaints

If you are unhappy with how we have handled your data, please email us first so that we can try to put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

Children

Property Track is not for children. You must be 18 or over to create an account, and we do not knowingly collect data from anyone under 18.

Security

Your data travels to and from us over encrypted connections. We store sign-in links and sessions only in a form that cannot be used to sign in, and the sign-in cookie cannot be read by scripts on web pages. No system is perfectly secure, but if a breach puts you at risk, we will tell you and the ICO as the law requires.

Changes to this policy

We will update this policy when the way we use your data changes. The date at the top of this page shows when it last changed, and if a change materially affects you, we will email you about it.
